Show Location:   Grande Place – 8th Floor of hotel  

Start time:  The Trade Show will begin following the Vendor Discussion Panel (Gold sponsors) at 2:30 pm on Friday, May 30.  We are expecting over 100 participants in attendance this year - we will keep you updated on the attendance numbers as the Registration site becomes live!  And new this year, based on Member feedback from the 2024 Conference, we have added 30 minutes to the Show.  They will now have 3 hours to visit your booths.  

Closing time:  The Trade Show will end at 5:30 pm.  You will then need to tear down your area, pack your goods and ensure all garbage and boxes are removed before you leave.  If you have left-over samples that you do not want to ship back, please advise Steve Rouse. Steve will be located on the Trade Show floor the entire show.  

What’s included in your space:   

  • 6’ Skirted table with black spandex tablecloth.  
  • 2 chairs behind the table.
  • Electrical - You will need to request this ahead of time if required.
  • The meeting room space will be set up ahead of time with tables and two chairs at each numbered spot.  Each Vendor will be assigned a number and given a floorplan showing their location.
  • A large floor plan map will also be posted on an easel as you enter the Trade Show space.

Floor Plan:  We will provide you with a Trade Show Floor Plan once all space has been confirmed.  

Your set up time:  You will have access to the Grande Place for set up on Thursday, May 29th between 2:00 – 5:00 pm.  You will also have access to the room on Friday, May 30 from 7:00 am until the show begins.   

Tear down time:   Friday, May 30 @ 5:30 pm 

What to bring:   

  • Branding (pop up banners, branded tablecloth, etc).
  • Samples, product literature, visual display (there is no AV included). 
  • Please note – Due to the hotel’s policy regarding “bringing in outside food and beverage to the hotel,” each Vendor will need to supply us with a listing of any samples you will be handing out to the Members.  Please send your listing to Susy at:  susy.nagaki-koc@healthfirst.ca

 

Returning your Booth and Materials:   

  • Please have your waybill(s) ready and attached to the box(es) that you will be shipping. 
  • You will be responsible for calling your delivery company to pick up your shipment.
  • Advise your courier that your boxes are located in the McGill Room on the 8th floor of the hotel.  All shipments must be picked up by end of day Monday, June 2nd.  You will incur storage charges if this does not happen. 
  • HFN is not responsible for returning your items – we ask that you ensure you have the proper waybills, labels, and instructions given to your delivery company ahead of time.
